Honor Community Health Lead Medical Assistant in Southfield, Michigan

Honor Community Health is a 501c Federally Qualified Health Center. Our mission is to provide for the health and wellness needs of the underserved of Oakland County through the provision of comprehensive, integrated primary, behavioral health, and dental care. POSITION SUMMARY:

The Lead Medical Assistant is vital to the Honor Community Health healthcare team, reporting directly to the Director of Health Center Operations. This full-time, exempt position is crucial in managing daily clinic operations, ensuring efficient office functioning, and delivering evidence-based, patient-centered medical care. As a leader, role model, and mentor to other medical assistants, the Lead Medical Assistant upholds the highest standards of healthcare delivery.

ESSENTIAL FUNCTIONS:

  • Clinic and Office Operations:

  • Collaborate with the Director of Health Center Operations to develop and implement best practices for clinic operations.

  • Applies knowledge of schedule to support smooth appointment workflow, collaborating with the clinical front office and site provider.

  • Assesses staff productivity to ensure adequate and efficient workflow and addresses areas of concern.

  • Coordinates and prioritize tasks to optimize workflow and maximize efficiency.

  • Oversees the clinic’s day-to-day operations resulting in smooth functioning and adherence to established protocols ensuring safety and regulatory readiness.

  • Ensures the efficient functioning of the office by managing schedules, appointments, and patient flow.

  • Confirms that cash drawers reconcile.

  • Makes accurate bank deposits 2x a week.

  • Supervise the maintenance of medical supplies and equipment, ensuring availability and proper functioning.

  • Rotates stock or delegates stock rotation to avoid product expiration.

  • Gathers and assists in completing reports and participates in site reviews and audits.

  • Patient-Centered Care:

  • Works with site clinician(s) to ensure that medical personnel provide high-quality and efficient care to our patients to achieve optimum comfort and care.

  • Oversees triage with an emphasis on adherence to protocols.

  • Supports and ensures all MAs assist healthcare clinicians in examinations, procedures, and treatments.

  • Upholds and ensures that all MAs maintain accurate and up-to-date records, including patient information, medical histories, and treatment plans.

  • Ensures and confirms all MAs protect patient confidentiality and adherence to privacy regulations.

  • Ensures medical equipment is cleaned, disinfected, sterilized and maintained according to policy.

  • Demonstrates, educates, and holds MAs accountable for adherence to Honor Community Health policies and procedures, local, state, and federal regulations.

  • Ensures competency training, assessments, and required record keeping in accordance with patient satisfaction, safety, and quality of care improvement, including, but not limited to:

  • Clinical Laboratory Improvement Amendment (CLIA) Criteria

  • 3rd party Laboratories in accordance with their requirements

  • The Occupational Safety and Health Administration (OSHA) Requirements

  • The Michigan Occupational Safety and Health Administration (MIOSHA) Regulations

  • Vaccine Management, Storage, and Handling, including-

  • The Vaccines for Children (VFC) Coordinator and Program Requirements

  • The Michigan Care Improvement Registry (MCIR) System Requirements

  • Printing and reviewing monthly inventory reports from AccuShelf

  • Medications and vaccines are organized, stored, and rotated

  • Medication storage and administration

  • Universal Biohazard Precautions

  • Emergency Preparedness

  • Direct and assist staff in responding to emergency situations as needed

  • Conducts daily huddles and reviews gaps in care reports to ensure comprehensive care is provided to all patients.

  • Models use of standardized workflows and holds the MA team accountable for adhering to workflows.

  • Honor Community Health Standing Orders and Clinical Protocols

  • Annual Education and Competencies

  • Facilitates performance improvement activities when required.

  • Leadership and Mentorship:

  •  Oversees the smooth functioning of the clinic by supervising the staff, delegating tasks, conducting performance evaluations, providing professional development opportunities, and arranging trainings.

  • Works with the site clinician(s) to ensure medical personnel provide high quality and efficient care to achieve optimum patient centered care.

  • Coordinates ongoing work activities for continuous quality improvement by overseeing and ensuring completion of competency assessments and facilitates performance improvement activities including care improvement initiatives, patient satisfaction, safety activities, etc.

  • Leads staff meetings with the Director of Health Center Operations.

  • Provide guidance and leadership to medical assistants, exhibiting values of dedication, professionalism, clinical competence, and ethical behavior.

  • Supports with recruiting, training, and evaluating medical assistant personnel.

  • Serves as a member of the interview panel.

  • Offers assistance and encouragement to medical assistants, helping them develop both personally and professionally.

  • Works alongside the Director of Health Center Operations to create and execute programs for staff development, including training sessions designed to improve their knowledge and skills.

  • Oversees and organizes work schedules for clinical and office staff to ensure appropriate coverage.

  • Reviews and approves timecards.

  • Approves or declines requests for personal time off (PTO) in accordance with clinical and staffing needs.

  • Assess the productivity of employees to ensure a smooth and efficient workflow. Addresses areas of concern promptly and effectively.

  • Oversees and guides staff to comply with electronic health record regulations. Ensures that patient records are accurately documented and maintained in an organized manner according to policies and regulations.

  • Reinforces that HCH policies and procedures are followed to ensure the availability of necessary supplies, equipment, patient communication systems, referral systems, and support.

  • Performs other duties as assigned.  During a public health emergency, the employee may be required to perform duties similar to but not limited to those in the job description.

What we are looking for?

  • High school diploma or equivalent and current Medical Assistant Certification (CMA) is required.

  • 1+ years of clinical leadership.

  • Experience working in a healthcare environment.

  • Familiarity with OSHA, HIPAA, and healthcare regulatory standards and requirements.

  • Understanding of patient-centered care principles and best practices.

  • Knowledge of medical terminology, procedures, and clinical guidelines.

  • Strong computer skills utilizing-

  • Electronic health record (NextGen preferred)

  • Microsoft Office
