No Joke Marketing Executive Assistant to the CEO in Johannesburg, South Africa

Are you organized, detail-oriented, and ready to take on the world of marketing? No Joke Marketing is looking for an Executive Assistant with stellar project management skills to support our CEO, a digital marketing magnate known for innovative strategies and a visionary approach.

POSITION’S GOAL

The person in this role is responsible for overseeing the CEO's schedule and communication channels, effectively prioritizing and managing emails and phone calls, as well as arranging important meetings and business events. Their exceptional organizational skills and attention to detail enable them to keep the CEO informed, prepared, and on track, ensuring smooth operations and optimal productivity.

KEY FUNCTIONS AND RESPONSIBILITIES

DAILY:

  • Serve as the point of contact among CEO and executives, employees, clients and other external partners.

  • Review, prioritize and inform the CEO of scheduled tasks.

  • Manage email inbox, prioritizing high-relevance messages and filtering out spam and irrelevant messages.

  • Facilitate efficient and accurate flow of information to and from the CEO as needed.

  • Attend CEO morning meetings and take detailed notes on key points.

  • Review and manage CEO calendar, identifying possible conflicts and making adjustments as needed.

  • Prepare and format internal and external communications for the CEO, including memos, emails, presentations, and reports.

  • Compose confidential correspondence with discretion and attention to detail

  • Maintain confidentiality of sensitive information and ensure security of important documents and data.

  • During CEO's identified meetings, take notes and follow up on any questions or needs that arise, either by providing requested information or by coordinating with the relevant department to provide an accurate response.  

  • Ensure timely completion of tasks assigned by the CEO and prevent overdue items.

  • Verify the flow of information in a timely and accurate manner.

  • Coordinate travel and accommodations, including booking flights, hotels, and rental cars.

  • Coordinate personal appointments requested by the CEO.

  • Attend all company meetings on time.

  • Be a team player and be willing to sacrifice for the good of your teammates and the company. 

  • Maintain a positive attitude and focus on solutions and not problems. 

  • Acknowledge mistakes in the “Growth Book” and help the team to avoid those mistakes in the future. Hiding or trying to cover up mistakes is way worse than owning up to your mistakes.

  • Provide constructive criticism with potential solutions to challenges you see within your job and the company.

  • Maintain a clean and professional workspace.

  • Build daily successful habits and routines to help yourself and your team.  

  • Drafting and reviewing important documents such as memos and proposals

    MONTHLY:

  • Ensure proper logistics for any scheduled event.

  • Conducting research and gathering information for specific projects.

  • Focus efforts on executing monthly plans determined by upper management.

     

    QUARTERLY:

     

  • Capture the sales goals determined by leadership for the corresponding quarter with due diligence.

  • Coordinate the logistics related to the agenda and calendar on Teams to carry out the projected webinar sessions.

     

    SEMESTRIAL:

     

  • Receive performance evaluations.

  • Coordinate the logistics related to the agenda and calendar on Teams to carry out Semestrial Session.
