Position Summary

Manage and deliver high-quality, timely and comprehensive PO creation, invoice management and PO reconciliation and PO closure across a variety of vendor categories including CROs, clinical trial sites, contract labs, IRB/EC and other key assignments. Collaborate cross-functionally to strengthen strong internal and external partnerships to drive sound financial stewardship.

Key Responsibilities

• Provides overall management of a designated centralized Clinical Trial Payments mailbox

• Collaborates with internal and external partners on troubleshooting, resolution and follow-up of payment inquiries and issues

• Responsible for the initial compliance validation including budget confirmation, PO match, study match, and vendor match

• Responsible for new hire training and mentoring

• Responsible for processing a high-volume of invoice submissions including data capture

• Responsible for report generation and report publishing

• Troubleshoots and addresses all internal and external stakeholder invoice-related inquiries

• Subject Matter Expert (SME) on advanced systems including SAP, GCO Tracker/ Request Portal, Microsoft SharePoint, Excel, and Word

• Works closely with internal and external stakeholders including vendor partners as required

• Collaborates with the broader team and supports troubleshooting, resolution and follow-up of vendor payment inquiries and issues

• Monitors site payments performance through active reporting and alert systems

• Provides operational support and coordination of clinical trial site-related payment processes for the payments team

Qualifications & Experience

• Bachelor’s Degree in Business, Management, or related field

• Minimum 18 months of experience working on clinical trial vendor payments

• Minimum 4 years Experience in financial or health sciences or related industries (pharmaceutical, financial hospital-based, doctor’s office, laboratory, CRO, etc.)

• Demonstrated ability to manage large volume of time-sensitive deliverables with limited supervision

• Extensive knowledge of the financial systems and payment process as it relates to the operational and financial management of clinical trials

• Competency in SAP, Ariba, Excel, Word

• Advanced knowledge of SAP including reporting functionality

• Strong stakeholder management skills

• Strong interpersonal, relationship building, employee coaching and development skills.

• Strong leadership and management skills, with the ability to work under pressure and with a wide range of internal and external partners

• Ability to effectively communicate to a diverse audience and influence others, at multiple levels of the enterprise

• Strong written and verbal communications

• Subject Matter Expert in matters related to vendor, operational and financial governance

• Proven ability to partner effectively with colleagues and vendors across multiple functions, geographies and at all levels of the enterprise.

• Strong stakeholder management skills

• Supports training and onboarding of new hires as needed

• Participates in special projects as needed
