AutoNation Headquarters Position Description Summary: The position is responsible for overseeing Facilities Maintenance contract trade services at all AutoNation sites. Ensures AutoNation’s standards and safety policies are achieved, and quality control is maintained through the use of data and analytics. The position works closely with AutoNation’s Headquarters, Region, Markets, Store Associates, and sub-contracted vendor partners to provide AutoNation with a sustainable competitive advantage in the management of their Facilities. Job functions: Core Function. Overall the position: Ensures contracts are in place and quality control standards are maintained for a professional presentation to AutoNation’s Associates and Customers of a clean, safe, comfortable, visually pleasing, and clutter-free atmosphere. Be the first point of contact for trade emergencies. Partner with Procurement team to negotiate trade contracts for all locations, and continuously conduct improvement amendments for better prices and increased service levels. Partners with vendors to manage a database for HVAC & Landscaping useful life that will be used to determine future Operational Expense and Capital Expense budgets Sets Service Level Agreements & Key Performance Indicators and calculates vendor performance against these metrics. Sets specific work scope for each trade, tailored to each location, and ranks priority levels per task. Manage any inventory consumable goods, supplied by AutoNation as per the contract, to ensure supplies are readily available as needed, at the best prices, etc. Provide and ensure proper training and work procedures to related parties regarding product manufacturer recommended service techniques. Resolve and follow-up on all new or outstanding issues, and report as such. Optimize vendor scheduling to be the most efficient method of deploying labor. Ensure vendor is in compliance with all local, State, and Federal rules and regulations in performance of the work. Travels quarterly to regions to perform inspections available for any special project or emergency situations that arise (disasters) as needed. Financial. Create, manage, and reconcile yearly budgetary costs for trades at each location. Manage Invoices Process effictively and efficiently. Reporting. Analyze data collected from Key Performance Indicators & Service Level Agreements Review/present monthly with internal team Review/present quarterly with vendor partners Business acumen. Process professional, energetic, passionate, and dynamic personal skills, superior work ethics, customer services skills, and technical knowledge in all facets of Facilities Management, including administrative duties. Have the ability to negotiate successfully. Have the ability to motivate and lead the work of others. Handle a high profile position with a busy customer-driven environment. Language/ Communication. Need modern technical and communication skills in English, Spanish is a bonus. Writing Skills: Must be able to produce professional business documents. Demonstrate behaviors consistent with the Company’s Vision, Mission, and Values in all interactions with customers, co-workers and suppliers. Adheres to all company policies, procedures and safety standards. Organizational Relationships: Reports to the Facilities Manager and interacts across multi-functions and locations. Primary Job Responsibilities (% of time devoted to each): Reactive solutions 50% Proactive solutions 20% Data analytics 20% Invoicing 10% 100% Minimum Qualifications: Three to Five years Facilities or Property Management in a corporate, supervisory, or managerial role. Excellent time management skills. Process enhancement training or experience. Ability to adapt to change quickly. Ability to work independently and in a team setting. Proficiency in desktop tools such as: PowerPoint, Excel and Word. Knowledge of other desktop production tools a plus (such as?). Internet database proficient (is there a specific vendor you work with?). Must meet company’s requirements for employment. Valid in-state driver’s license and have and maintain and acceptable safe driving record. Preferred Qualifications: Each of the above minimum qualifications and: Service Channel experience. Vendor consolidation experience. A four-year college degree. Next Possible Position(s): Facilities Manager. Physical Requirements: May involve long periods of walking/standing related to on-site visits. Incurring long periods of sitting and keyboarding (data entry).
