Summary:

Under the direction of the Practice Manager, the Patient Representative II performs diversified duties, which include but are not limited to: greeting patients, answering phones, scheduling patients, registration duties, cashier duties, hospital charges, insurance prior authorizations, scanning, faxing, chart preparation, medical records release, scheduling surgeries, and special duties as assigned by the Practice Manager. The Registration Representative II is responsible for timely and accurate Outpatient Preregistration and Registration functions, while able to back up the Financial Counselor, Switchboard Operator and ED Patient Representative. Works closely with other departments to ensure a proper and patient friendly experience while acting as the Patient Access expert.

Responsibilities:

  • Performs clerical duties as assigned.

  • Receives and processes phone and written messages in a polite and timely manner, channeling appropriately.

  • Greets and registers outpatients courteously and efficiently.

  • Documents patients arrival time and places chart for nursing. Informs patient of wait time.

  • Schedules patient appointments using Cerner, including cancellations and reschedules.

  • Schedules referral appointments per provider in a timely manner, including all aspects such as insurance authorization, notifying patient and referring provider.

  • Knowledge of patient appointment reminder platforms and appropriate tracking of status.

  • Maintains accurate scanning of documents, order requests and results through Cerner Power Chart.

  • Prepares waivers and assures accuracy for all types of insurances, depending upon procedure.

  • Demonstrates ability to run and process Experian for patient visits.

  • Communicates clearly with Practice Manager, peers, and Physicians.

  • Assists in training of new employees.

  • Acts as a Super User for the department.

  • Completes assigned work on time.

  • Performance is consistently accurate.

  • Shows orderly work habits and neatness of finished job.

  • Recognizes personal limitations in taking on extra tasks.

  • Performs other work as needed by Practice Manager.

  • Requires a minimum level of supervision.

  • Stays within authority and ability.

  • Collects money for co-payments and balances.

  • Records all receipts daily for cash up process.

  • Maintains petty cash
